Terms and Conditions of Room Hire
1. The booking times should include sufficient time for setting up and clearing away.
2. The full fee is payable 7 days in advance of event for single bookings.
3. Long term bookings are invoiced monthly and payable in 14 days.
4. In the event of a booking cancellation, the following charges will be made. If more than 48 hours’ notice is given, 50% of the full amount will be returned. With less than 48 hours’ notice, no refund is given.
5. Hire includes, Wi-Fi, electricity, heating and the use of the kitchen.
6. All rooms used must be left clean and tidy, with any furniture returned to original place. It is your responsibility to remove rubbish generated by your event. Please ensure donations for drinks etc. are put in the box in the kitchen.
7. No smoking, naked flames, alcohol or illegal substances are allowed anywhere on the premises at any time.
8. The actions and behaviours of all organisations using the centre are the responsibility of the leader/tutor of that group. All activities involving training or similar activities must be organised by suitably qualified and/or insured persons.
9. No unreasonable noise is permitted, in consideration to other users and our neighbours.
10. Any damages must be reported to the centre manager and may incur a charge or damage deposit for subsequent hiring.
11. Group organisers and one to one therapists are responsible for ensuring that relevant safeguarding procedures are in place for children or vulnerable adults . This means up to date and appropriate; training for all staff, DBS checks, qualifications and insurance.
12. If the fire alarm sounds, please ensure all group members are evacuated from the building – the meeting point is the car parking area opposite the centre.
13. All accidents must be recorded in the Accident Book, which is kept behind the First Aid Box, on top of the fridge in the kitchen.
14. All hirers of the centre must use the IN/OUT board at the bottom of the stairs.
15. Your details will be securely stored in paper form and electronically for the management of your hire of the Community Centre plus news and updates. Your details will not be used for any other purposes without your written consent, except if demanded by legal authorities.
16. We reserve the right to decline a booking if we consider the proposed use inappropriate for the centre
17. In accordance with our charity status and mission statement any room hires made for party political and religious activities must be entirely by members’ private invitation only and not publicity advertised or featured on any social media. Political recruiting and proselytising are not permitted at the Clifton Centre.
18. Storage of items at the centre is entirely at the risk of hirers, and should be kept to a minimum. The Clifton Centre is not responsible for damaged or missing property.
19. If hiring the ground floor sitting room; please be aware this room is the access route for the disabled toilet and therefore your session may be interrupted. To avoid this please book the upstairs small meeting space.
Additional conditions for key and alarm fob users.
20. You are responsible for the centre and its security.
21. You must safeguard the keys and alarm fob. A fee of £40 will be charged for the cost of replacing lost keys and key fob.
22. The keys and alarm fob should not be marked to show the address for which they are used.
23. The key and alarm fob must not be given to another person without the agreement of the Centre Manager.
24. The key and alarm fob must be returned at the end of the booking or they may be retained if you book weekly or monthly, as agreed with the Centre Manager.
